December Top
Gun Winner

Congratulations to Kathleen Palumbo of The Bajan Group, our December TopGun winner. She correctly answered the question,

“Which TopForm® documents currently Support an InfoSeal format?”

Answer: Invoice and Check.

TopForm® is pleased to announce the promotion of Mike Ellison to the position of TopForm® Software Development Manager.

Since Mike joined us in the spring of 2004, he has proven himself in many ways.  First and foremost is his commitment to customer service.  The Platinum Support Customers can certainly attest to that fact.

Mike also has eight years of management experience.  In his last position he was the I.T. Manager of the Music Network.  In this capacity, Mike managed their software development, software support and their entire I.T. operations.    Preceding that position he was I.T. Manager for Space Flooring.  Among other responsibilities, he managed the development and support of their accounting and distribution software.

Please join me in congratulating Mike on this promotion.

In WebEC, Companion Items can be set up to be added to the order when a particular item is ordered. There is a new parameter available when setting up the companion items (ECS-R5):

Always set sell price to zero?

The WebEC order entry program (EC3WS1) has been modified in the area that sets up the worksheet lines for the companion items to check this new parameter. If this parameter is set to Y (or checked in GUI) then the program will set a flag in the worksheet line so that when the TopForm® order is created, the sell price will be set to zero for that order line.

You would use this feature if these companion items were also sold independently. Under those circumstances, you would want a sale price. With this new option, you can maintain sell prices in your item master files, but when the item is sold as a companion item, no sell price will update to the order.

Have you had a package returned to United Stationers because the delivery person could not find your customer?  Most shipping companies require a phone number on the packing slip or shipping label.  TopForm® has created a new feature for TOPS customer’s that will transmit your customer’s telephone number.

If there is a blank line between the first address line and the city, the program will pull the telephone number from the ship to record and transmit it to United.

TopForm® has been getting very high marks from our Platinum Support customers. Here is what one of them has to say:

“I don't know how you and your staff are achieving it, but the support we've been receiving is excellent. Thank you very much for addressing my concerns and providing a workable solution for us. “

Mary Spitalnick - TSI Associates, Inc.

As you may know, in response to customer requests, TopForm® began offering a “tiered” support offering. The “Platinum” Tier offers among other benefits.
  • On call support extended to 10 pm EST.
  • Immediate access to all new completed work orders.
  • Automatic four-hour escalation of any critical open support request.
  • Automatic forty-eight hour escalation of any non-critical open support request.
  • The services of a high level technical services manager to monitor and manage all open support calls and work order requests.

According to Julie Pritchard, “It was important that we take steps to meet the needs and wants of our Platinum level customers without impacting the level of support given to others. Therefore, concurrent with this new offering we brought in a new high level technical service representative to manage these support requests.”

If you are interested in more information on the Platinum support option please contact Jean Dudek at 800-448-1484.

A TopForm® Tune-up is a service that is available to all of our clients. It provides for an in depth review of your needs and how you can further automate certain processes, often times with tools that you already have. This is accomplished on-site with your TopForm® Representative. Basically a TopForm® Tune Up will include the following:
  • Review all of your system parameter settings and provide consultation and training on capabilities not yet implemented.
  • Analyze your business processes and make recommendations on how you can improve efficiency and eliminate redundant data entry.
  • Review your order entry, inventory and receiving procedures to make certain that your accounting and financial data are in sync with your inventory and work in progress values.
  • We would also provide training on ODBC so that you can take advantage of easy data mining and custom reporting.

The TopForm® Tune-up is generally 2-3 days and can be tailored to your individual needs.

If you haven’t availed yourself of this service in the past, now is a great time to start. We have been releasing the Graphical Version of TopForm®, Version 6.0, and with it, many great new tools for automatically linking applications, like Excel, Mapquest, Word. With this new version, brand new documentation is available on line with a single keystroke.

In both the character and the graphical versions of the software, we have added among other features:

  • Enhanced report viewing, HTML Printing, and PDF Printing capabilities.
  • New functionality in the areas of Reorder processing.
  • A new ASI purchase order template.
  • New abilities to print and save the electronic forms as PDF's.
  • New abilities to print and view Sales Analysis Report in PDF.
  • Ability to post cash receipts by invoice number range.
  • ODBC file enhancements in the area of AR Invoicing.

If you are interested in this service, please contact Steve Boyett at 770-239-5425.

We have a customer who is interested in modifying the contact fields in TopForm® to allow more flexibility for international addresses and phone numbers. If you have needs in this regard and would like to provide your input, please email jean.dudek@topform.com and list the options you would like to see addressed.

Keith McBride our Vice President of Research and Development will be celebrating 11 years this month. Actually Keith was hired in 1982, but left the company to accept a management position with Bell South. He continued to do development work on TopForm® on a contract programmer basis and ultimately returned to CSI in 1994.

Cathy Spence our Operations Manager will be celebrating 8 years this month. There is another story here as well. Actually Cathy worked with TopForm® (then CSI) but was recruited by local TopForm® user in 1986. That company was acquired by Standard Forms (now Workflow). She worked for them for eleven months and then came back home to TopForm®.

Jesse Bryan began working with TopForm® 4 years ago as an intern while attending college. He assists the TopForm® development department by creating many of the maintenance panels for TopForm® Version 6.0 as well as maintaining and updating the floating tips and the message library. Jesse recently graduated from Kennesaw State University with a degree in Business Management.
