TopForm Software's New Home


Friday, February 28, 2003 marked a new chapter in the life of TopForm Software. After several successful years at our offices at 303 Research Drive, we packed our bags and moved into an upgraded and more modern facility. Though we moved only block away, the two offices are worlds apart.

This move will better facilitate training for you our valued customer. Our new training classroom is a state-of-the-art facility with 15 PC's connected by a wireless network. Top-notch audio/visual equipment helps us equip you to maximize the software through training. An enlarged server room gives our hardware technicians more room to operate and do their jobs. The individual office spaces are also an upgrade for our employees and gives us additional room to grow. The new physical address is:

Driving Directions

The Evergreen Marriott Conference Resort is located at 4021 Lakeview Drive, Stone Mountain. From Atlanta Hartsfield International Airport follow signs to Riverdale Road; turn left. Take I-285 East to Exit 39B to Stone Mountain Park's main gate entrance. Once inside gate, take first left.

Airport Shuttle

Transportation from Hartsfield can be provided by Evergreen Resort, one way fee for one passenger is $55.00, for two passengers the charge is $42.00 each and for three or more it is $32.00. Please fill out the reservation form on line www.evergreenresort.com. Your driver will greet you at the Business Travelers Services located toward North Baggage Claim across from national Car Rental.

Rental Car

If you want to rent a car, all major rental car companies have desks at Atlanta's Hartsfield International Airport. There is no charge for parking at the Conference Center. At the park entrance gate, please inform the attendant that you are participating in the TopForm Client Conference. You will then be admitted at no additional charge.

Travel Time

The Evergreen Marriott Conference Resort is approximately a 45-minute ride from airport and 19 miles from downtown.

Weather in the Atlanta area during April can range from the mid-60's to the mid-70's.

This will be handled by the TopForm Staff based on the information that you provide with your conference registration. Should your arrival and departure dates change once you have registered please contact TopForm with your changes.

Hotel Check In

Check-in time is 4:00 pm and check out time is 12:00 Noon. The hotel's policy requires a credit card imprint upon check-in.

Expenses / Meals

Travel, room, miscellaneous expenses and those meals not included with the conference are the attendee's responsibility. Meals included with this year's Conference begin with breakfast, lunch, and dinner on Friday and breakfast and lunch on Saturday. There will also be a welcome reception on Thursday evening.

Recreation / Entertainment

Stone Mountain is an enormous granite mass featuring the world's largest high relief sculpture. The park offers a wide variety or leisure and recreational activities. Crossroads, sends you back in time to an 1870's Southern town. Skylift give passengers 825 ft breathtaking view of the Confederate Memorial carving, and surrounding area to the top of the mountain. At night the park turns the north side of Stone Mountain into a one million square-foot natural screen for the popular Lasershow Spectacular Saturday, April 26th 8:30 pm. The Scenic Railroad takes you on a beautiful, five mile journey around the base of the world's largest mass of exposed granite in open air train cars. Discover Historic Stone Mountain Village, an authentic antebellum town that has maintained its sense of community. Where neighbors still discuss town events over their back fences, while sipping icy sweet tea. Where you can still stroll Main Street, searching for that perfect gift and sampling the local fare.

The Village features over 60 unique shops and several excellent restaurants. Tour the Civil War museum and view a variety of exhibits at the ART Station. Located just outside of the West Gate of Stone Mountain Park, 15 miles east of Atlanta, Stone Mountain Village has something for everyone!

Evergreen Resort does offer transportation to and from the Stone Mountain Village.

Messages

If your office needs to contact you during the conference, they can call the Evergreen Marriott Conference Resort direct at 770-879-9900 and specify that they need to leave a message for an attendee of the TopForm User Conference. After taking the information, the operator will forward the message to our Registration Desk. Please check there periodically for messages.

Business Service Center

A Business Service Center is located on the main level of the Conference Center. This center will be open during meeting times and is available for sending and receiving faxes, emailing, making copies, etc. Charges for these services can be applied to your room account. The fax number at the Business Center is 770-465-3258.

Registration Desk

Once you're settled in at the Evergreen Marriott Conference Resort please register for the Conference. Thursday registration will be on Lobby Level from 10:30am - 6:00pm. On Friday the registration desk will be located outside the TopForm Showcase area and will be open from 7:30am - 6:00pm. Conference materials will be distributed upon registration.

Help Desk

The Help Desk is staffed by TopForm support personnel and is available on a scheduled basis only. Each company will be allowed to reserve a 15, 30 or 45 minute session and will be scheduled for the first available time slot that meets with your requests to avoid breakout conflicts.

Remaining time slots will be made available at the beginning of each Conference. Companies having the same questions/issue may be scheduled for the same help desk session. We recommend that you do not bring information of a confidential nature.

Name Badges

You will receive a name badge with your materials package. Your badge identifies you as a general attendee or an attendee who will have access to the System Administration breakouts. You will be required to show your badge in order to gain access to conference events.

Cancellation Policy

Cancellations within 21 days of the Conference will be charged a $100 cancellation fee. Cancellations less than 10 days will be charged a $300 cancellation fee. Any cancellations after the 10-day cut off will not be given a refund. These cancellation charges do not include cancellation or similar charges you may incur from the hotel or other vendors.

TopForm Showcase

Friday: 10:15-6:00 pm Saturday: 9:45-4:00 pm

The TopForm Showcase gives you a chance to explore new applications, see their features and even see live demonstrations hosted by solution experts. As you look at the exhibits, TopForm personnel will be available to answer your TopForm and other information systems questions.

Welcome Reception / 6:30pm - 8:30 pm Thursday

Cocktails and will be served in the Atrium giving you chance to network with other Users and TopForm representatives.

TopForm Golf Challenge

Saturday, April 26th, 8:30 am, General Session

Following the popularity of last years Customer Presentations, this General Session will provide perspectives from several different TopForm customers on how they have used TopForm to market their companies and improve their bottom line.

Noel Choquette, President of Enosis, will discuss how he doubled revenue per employee while simplifying his business and his life.

Paul Clark, Director of Information Technology for Winbrook, Inc. will present how they migrated a 600-branch bank from a well-known third party e-commerce solution to TopForm Web.ec. Learn what they have done to streamline their internal processes, enhance their real time Web.ec reporting and, as a result, better serve their customer.

Print Technologies implemented the TopForm Order Entry Gateway and eliminated 100 man hours per week of temporary services.

Similarly, Tom English of Superior Business Solutions implemented a customized version of the order requisition gateway and the customer invoicing gateway to eliminate order entry, inventory adjustments and billing!

Print Management

Our Client Conference would not be complete without a session on Print Management and last year, client surveys told us that one was not enough. This year, there will be two sessions. The first will focus on how to set up Print Management customers and the other will focus on processing and reporting. Both types of print management customers will be covered, counted and issue based.

TopForm Office Supply Sales Module

Consumer research in the business products industry suggests that, if you can consolidate just ten company's consumable purchases, with a white-collar work force of 30 people each, you could add $250K to your top line annual sales. This new sales revenue would come at an average gross profit margin of 27%. That's $67,500 new margin dollars to your bottom line from your current customers! So, why doesn't every print distributor market and sell office supplies to their current customers? The answer is that it is usually a manual process and not integrated with the rest of your business. This is coupled with the fact distributors do not have a good pricing model to go to market. Therefore, selling business products is usually not a profitable venture.

TopForm's new programmed integration with United Stationer's databases, real-time order transfer to United and electronic invoicing from United make marketing business products to your customers a reality for your business. This session will cover how you can build this vertical market through e-commerce marketing using Web.ec, United's consumer pricing databases and marketing programs. This is a truly low-cost, profitable and integrated platform to grow this vertical market! A representative of United Stationers will be present to help you begin developing an office supply sales business plan through your TopForm system!

How To Protect Your Data and Your Business

This session will focus on server redundancy and RAID systems. Also, the basic fundamentals of back-up procedures and managing disk space will be covered. This session is a must for all system administrators, from the novice to the veteran.

Output Options, Printing and New email options

This session will cover your various JetForm options which now include the automatic emailing of vendor purchase orders. Also, instructions will be provided so that you can take advantage of the new HTML printing option. With this option, you easily advance to the next page, the last page or move back to a prior page or first page with a click of your mouse. You can also search for specific data or generate the report on a web server for viewing over the Internet through a web browser or easily email reports. Instructions regarding PrintKey will be given. Finally, we will discuss VNC capabilities that allow you to take control of another's desktop for maintenance purposes in a similar fashion as PC Anywhere.

Order Processing - Special Situations

This standing room only session from the last TopForm conference will again be repeated. Here we cover the many different types of orders and how to best handle them in TopForm. Examples include all of the following, sales orders with multiple ship-to's where some inventory will be shipped to the client and some into a distributor warehouse, orders with multiple vendors. Also covered is how to tell vendor "A" to ship to vendor "B" without using message lines and stopover orders, that is, orders that are being delivered to your warehouse where all you need to do is print a packing slip to ship or deliver the goods, direct mail orders with pre-paid postage, and orders with multiple costs for goods to be inventoried on a bill as shipped basis and more.

Online Ordering With Variable Text

Do you offer commercial printing with variable text imprinting, or variable text stationery items like business cards, Rolodex cards or letterhead. How about MICR coded cash tickets. This session will show you how you can routinely offer these type of products without your office staff lifting a finger. Of course you will need to invest some effort in the initial setup of variable print templates. This session will fully explore the requirements and procedures of variable print item creation.

Data Replication

If you have an interest in custom reporting and development outside of your standard TopForm application or for disaster recovery purposes, data replication may be the application you need. Data Replication provides for a simultaneous update of all of your TopForm data to one or more separate databases. Just think of the possibilities. Dice and dissect your data every which way you choose and never have a concern that you might be interfere with the integrity of your accounting data or hinder the performance of your operational platform.

TopForm Document Imaging

TopForm Document Imaging specializes in solutions and services related to the conversion of computer based, paper, and microfiche documents to electronic images. Once converted, these documents can be easily viewed, retrieved, printed and transported to other PC-based applications via the Internet, Intranet, an electronic document management system and/or CD-ROM. Thousands of documents can be accessed in seconds, offering a major savings in labor and storage costs - thus impacting overall office productivity. Learn how you can use these tools to build efficiency in-house and how you too can offer this technology as an additional service to your customers to supplement your revenue stream.

Web.ec Administration 101

Is it your responsibility to oversee web.ec in your organization? Does that responsibility fall into areas that you never dreamed you would need expertise? Well this session is designed for those of you that have enough information to be dangerous but not enough to be effective. Specific areas covered will be overall explanation of the web.ec servers, their purpose and general configuration, starting, stopping servers, the monitoring process and a basic discussion on email.

Web.ec Administration 201

Ok. So you feel pretty good about your knowledge of Web.ec servers and you are ready to move up to the next level, guru. This session will pick up where Web.ec Administration 101 left off. There will be a detailed discussion on the possible uses and needs for a multiple server configuration, the possible configuration and uses for development servers, strategies for testing development pages with your Web.ec configuration, and the scheduling of background jobs to be monitored by your Web.ec servers (specifically relating to credit card utilities).

Credit Card Processing

Do you have an account that is ready to go on-line when you have credit card capability? Are you ready to open your storefront? Have you always had headaches in handling a credit card purchase in your receivables? The TopForm credit card module was designed to address these very issues. Integrated not only into Web.ec but into standard TopForm itself, this session will bring you up to speed on the features of this powerful new tool. The discussion will first cover the Web.ec aspects of credit card processing including securing your web site, on-line verification/approval of the credit card, and on-line order totaling. The discussion will then cover your options relating to the accounting aspects; invoice posting, system messaging, summary bill options, general ledger postings and charges against gross profit for bank service charges.

Web.ec New Features I & II

Much has happened this year and a lot of it happened in Web.ec. With the fast changing demands of on-line buyers, Web.ec has grown in dramatic ways to meet those needs. This session will bring you up to date on some of the cool new features that are available. Implementation of features will cover both sides of the Web.ec configuration, parameter settings and web page design. Discussions will cover new order status search capability, extensions to product keyword searching, new data reporting options on the product catalog detail page including previous order information, warehouse city and state locations as well as reporting of usage based on the active ship-to for corporate purchasing agents. For the product catalog: extensions to active item display, alternate on-line line shading, sorting of on-line items by description, support for stock items and quantity break pricing. For the shopping cart the support of product detail links, variable print flagging and proof links, new messaging options, and new controls for the attention field and alternate order line shading. Other topics will also cover order maximums and the new availability of reporting order ship date on the order status page.

Web.ec: Getting a Customer On-Line

Looking to get that initial foundation to get an account on-line? Do you need a refresher on the questions you should be asking when assisting your sales staff in order to determine the best approach for an account? Or do you just need the big picture for Web.ec laid out 1-2-3? This session will take a step-by-step approach to getting a new account on-line for Web.ec. Included in the session will a discussion of how to develop a new account checklist for your offices.

Graphical User Interface Training


This year, we will have one meeting room permanently setup with twelve to fifteen PC workstations for hands on training on the new TopForm Graphical User Interface. The breakouts will be organized to focus on the following TopForm processes and will repeat on day two of the conference:

Overflow attendees will also be able to view on-screen instructions and have the opportunity in the TopForm Showcase area to test their skills.

Customer Round Tables


Last year, in response to customer requests, we created sessions for customer led roundtables. This year, we are again responding to customer requests by provided for smaller groups of Customer Round Tables. One break-out room will be reserved for the entire user conference for these round table meetings. However this year, we will provide for multiple sessions of four or five "rounds of ten" for smaller, more focused groups.
