 TopForm offers many features that eliminate data entry and operator intervention. In this newsletter, we are providing up to date information on two of these features, Automatic Requisition Charges and Automatic Freight Handling. Automatic Freight Handling Rules: First, lets talk about the automatic freight handling rules that are available. You may now specify by customer and by type of transaction (R, W or I types) whether to mark up freight, pass actual freight cost through to the customer, or not charge any freight at all. If you are not charging the customer freight, you may also elect to have the freight cost flow through as a cost only line on the invoice so that gross profit and / or commissions are affected.
You can elect to enter a percentage to mark up freight, and then, if you choose, you can also specify a minimum dollar amount to apply as a mark up should the percentage mark up yield a lesser result. Alternatively you can apply a table to determine the mark up. This table will allow you to vary the freight mark up based upon a table of the total dollar sale. If you had the table set as it is above, and the sale was $850, TopForm would mark up the freight by 2% of the net sale. If the freight were $100, TopForm would mark up the freight by $17 or 2% of $850. Is the % in the table below of Net Sale or Freight? F
If we change the option from "S" for Sale to "F" for Freight, the mark up would be $2.00 because it would apply the 2% against the freight amount as opposed to the total sale. If you answer "Y" to the question, "Require the Operator to accept the mark up", during billing, TopForm will provide a prompt for the operator to accept or reject the mark up. Therefore the mark up will only be applied if the operator accepts it. If you answer "N" to this question, the mark up will be automatically applied. You can specify whether or not you want these freight charges to update to order history. You should answer yes to this question if you wish to do any ODBC reporting on these freight charges. You can also elect whether or not to have commissions affected by the mark up and if so, elect to have a specific commission code applied to the gross profit (or loss) accumulated on these freight charges. (Obviously, you must be paying commission by line item for this to take effect.) Or you can also specify whether to make the commission a cost only line for the purpose of calculating commission. Another very useful program is the Automatic Requisition Charge Program. This program allows you to set up a variety of charges. You can have a "per requisition" charge and/or a "per line" charge and/or per carton. The charges can be % of the sale, the cost or the value. It can be invoked only when using a certain shipping method (to charge your customer a delivery charge when using your own truck) or only when the shipment is originating from a certain warehouse (to recap fees paid to certain third party warehouses) or when the product belongs to a particular product code set.
Although these rules can come into play on any type of order, it is particularly important when you are using some form of automatic invoicing. For instance, if you are using the TopForm Automated Shipping and Invoicing Solutions, your customer invoices are being created as a by-product of the shipment being processed in the warehouse. If you are receiving vendor invoice records automatically from your manufacturers, the Customer Invoicing Gateway Plus module automatically completes the P/O Receiving process, sets up the payable and creates your customer invoice.
