Maximum Line Items in Order Entry


It has come to our attention that as a result of some misinformation there has been some confusion regarding the maximum number of line items that can be entered on orders via Web.ec.

What is the maximum? Do you know? It is not an obvious answer. Someone outside of TopForm, perhaps the Iraqi Minister of Information, recently told a TopForm customer it was nine. Any of you who have produced a 20 page picking ticket knows that isn't true. Some might think it is 999 because the line number in TopForm Order entry is a three character field, however, that isn't it either. The actual maximum number of line items on a single TopForm order is 206.

So where does the confusion stem? Actually it stems from the number of purchase orders than can be created as a result of a single sales order. Even though TopForm does allow 206 line items that can consist of warehouse releases or custom manufactured items, the number of purchase orders to different vendors is limited to some number less than thirty-five, depending on the numbering convention you use for your purchase orders. When entering orders manually, this really doesn't present a problem, as you can combine multiple line items to the same vendor on one purchase order. When a buyer enters orders via web.ec this combination process isn't automatic…s of yet.

By the end of June, however, a new feature will enhance the logic contained in Web.ec to combine multiple line items for the same vendor on one purchase. For more information on this and other features in progress, please contact TopForm support.

TopForm Client Conference Recap


Over ninety TopForm customers congregated for the 14th Annual TopForm Client Conference held at the Evergreen Conference Resort in Stone Mountain, GA on April 24-26. Once again, it turned out to be a huge success!

The conference began with a golf outing at the Stonemont Golf Course. The big winners were Tim Murphy - Vanguard Direct for the Longest Putt competition and Warren Zindler - TopForm founder for the Longest Drive competition. Three TopForm employees joined in the action - Steve Boyett, Derrick Francis, Anthony Mullins - and it was quite obvious that all three should not quit their day jobs to leave for the PGA tour!

The tournament was followed that evening with an opening reception and dinner. Introductory comments by Julie Pritchard were given to welcome the guests and to give an overview of the conference. She also discussed TopForm's recent move into our new facility and had a virtual video tour of offices playing in the background.

The opening General Session was given by Julie Pritchard, Keith McBride, and Bill Bialy. In this presentation, new developments with the software were spotlighted. New features/modules discussed were the Data Replication module, Web.ec Central, Office Products Solutions among many others. Immediately following the General Session, the Breakout Classes began. This year's lineup included the following topics:

  • Data Replication
  • Document Imaging
  • Print Management
  • Special Situations
  • Roundtable Discussions and more
Saturday began the second General Session that included several TopForm customers giving testimonials about specific needs that were met by the TopForm staff. These customers were:
  • Paul Clark - Winbrook Associates
  • Harry Zatlin - Print Technologies
  • Tom English - Superior Business Forms
  • Noel Choquette - Enosis Graphic Solutions


Mr. Clark focused his attention on the Data Replication module. He spoke about how having a second set of TopForm data has allowed him to design report enhancements for Winbrook customers. He also highlighted how replicating his TopForm data has also given him additional Disaster Recovery ability.

Mr. Zatlin had a customer who recently began sending him 100-200 orders with up to 208 line items per order. You can imagine the headache. These documents were also very difficult to read. Mr. Zatlin met with the customer and arranged for the orders to be sent via a text file. He contacted TopForm and a solution using the Order Entry Gateway was implemented. Order entry has gone from a week down to 10-15 minutes. Mr. Zatlin estimated that the solution TopForm implemented saved Print Technologies $11,235!

Mr. Choquette gave a presentation of Enosis' version of Web.ec. He showed a demonstration that reiterated Web.ec's versatility and customization. He spotlighted that Web.ec has allowed him to streamline his business by reducing personnel overhead. He stated that most of his customer orders come via the online ordering tool allowing his company more time to focus on enhancing customer service.

The General Session ended with an exciting prize giveaway presented by Anthony Mullins. The prizes were as follows:

The closing session of the conference was given by Julie Pritchard. She thanked our customers for their loyalty and attendance and announced that information regarding the 2004 Client Conference would be available soon.
