Ready for your TopForm NetMeeting?
NetMeeting is a conferencing-client developed by Microsoft that allows users to interact in real time over the Internet. It includes:
- Video and Audio Conferencing
- Whiteboard
- Chat
- Internet Directory
- File Transfer
- Program Sharing
- Remote Desktop sharing
- Security
- Advanced Calling
TopForm has decided to use NetMeeting as an aid in support and for some on-line training. The Remote Desktop Sharing feature provides us with the capabilities of “double vision,” that is, we can view your desktop while we assist you with a support issue. For training purposes you can view our desktop and our keystrokes as we demonstrate proper procedures.
Why NetMeeting? Well, it is easy to setup, and it’s free! There are no monthly fees or software license purchases necessary. Any PC running a Windows variant, such as Windows 95, Windows NT 4.0, Windows 2000 or Windows XP can use NetMeeting. It requires Internet Explorer 4.0 or better. Windows 2000 and Windows XP come with NetMeeting 3.01. If you use Windows NT 4.0, Windows 95, or 98, you will need to upgrade your Internet explorer and download NetMeeting 3.01 from the Microsoft website. For best result, all the PC’s should have the same version of NetMeeting.
Anyone can initiate a call as long as they are connected to the internet using RAS (Remote Access Services), VPN (Virtual Private Network),
or Firewall but the receiving party will need to have a live static public IP address. Your TopForm support representative will request that you initiate the call by opening NetMeeting, clicking on “Call,” then “New Call,” and in the box provided, you would type our public IP address which is 206.142.5.x, where “x” will change depending upon the support representative. When you initiate the call, the necessary ports will, in all probability, be open. If you are receiving a NetMeeting call from a firewall the following five ports (389, 522, 1503, 1720, 1731) must be open through (TCP). Contact your network administrator.
When you first run NetMeeting, you will need to set it up. This is very straight forward. As it will ask you for your connection speed, you will need to have this handy. If it asks you during the install whether or not you want to log into a directory server on startup, you should click "No.”
NetMeeting is capable of connecting many PC’s together to view a single desktop for video
conferencing (See Illustration 1).

Following a demonstration or training session, sharing can be invoked so that one
or more desktops can be
monitored (See Illustration 2). To share your desktop, you will be asked to click on
Tools, Sharing, Desktop, then Share. By doing so, your Support Representative can monitor your keystrokes. You may also transfer control to them, so that we can get you out of a jam.

File transfer is made simple using NetMeeting as all the files go to C:\program files\NetMeeting\received files.

It’s a Girl!
TopForm is proud to announce the birth of Taylor Jenae Francis, weighing in at 6lbs 10oz. Taylor was born Sunday, July 20 to Derrick and Katrina Francis and shows that Derrick has been involved in more than just TopForm software development. Congratulations Derrick!

Introducing ....... Ned Mesihovic!
TopForm is also, pleased to announce a new arrival of a different kind. Ned Mesihovic, joined Team TopForm in June. Ned comes to us with over five years experience in Microsoft-based application development with expertise in Active Server Pages, Microsoft ActiveX Data Objects , SQL Server 2000, MS Access, JavaScript, and HTML and DHTML programming and many other applications.
Ned attended the University of Sarajevo, Yugoslavia, Bosnia, Department of Mechanical Engineering. We don’t believe that it takes a Rocket Scientist to development web applications, but if it did, he’d be your man as his major there was actually Rocket Technology. He speaks fluent German and
Serbo-Croatian as well as English. Ned completed his certification in Computer and Business Information Systems (with a 4.0) at Long Beach City College in California and, in his spare time, he works with the local chapter of Habitat for Humanity.
Ned has been working hard on the TopForm Variable Print application and has made some terrific enhancements. He has also created a great looking new set of Web.ec pages. To view these pages, logon to the

Web.ec Monitoring
Two of your most important responsibilities to insure the stability and performance of your
Web.ec program are 1) running the Web.ec Monitor program and 2) checking the
Web.ec Status Log. The subject of this newsletter will be the
Web.ec Monitor.
The Web.ec Monitor program constantly checks your Web.ec server(s); and, if for any reason, one or more of your
Web.ec servers are down, it performs a restart and sends an email regarding the stoppage to the person designated by the server.
The sequence of events might flow something like this.
- The status time of each server is checked every few seconds. If the “Kill after” number of seconds has passed and the status time has not changed, the unresponsive
Web.ec server will be “killed” by using the kill command and the server’s process id then the server process is restarted.
- A message will briefly display showing which server is being restarted.
- If the last file (.ec file) the server was working on still exists, then it will be erased, as it may have been causing the problem.
- If an email address is given in the Web.ec Server Parameters then an email will be sent to that address.
It may seem obvious, however it bears stating. The PC that runs the monitor program should never be shutdown. If it were, the Monitor program and the extremely important role that it plays would be terminated.
In order to make certain that your Web.ec services to your customers are not interrupted,
you need to be using the Web.ec Monitor program! If you are not certain if you have properly implemented this program, please contact TopForm support immediately.
In Loving Memory – Kathy Whitfield Ray
After bravely battling cancer for over a year and a half, TopForm employee Kathy Ray recently passed away. Kathy was employed by TopForm as a Graphic Artist for the past three years and many of our customers came to know Kathy through communications regarding the annual Users Conference. Surviving are a son, Gary J. Stone; her mother, Virginia Griffith Whitfield; and three siblings, Greg Whitfield, Linda Barr and Jill
Mucci.

Ohio Tax Law Changes to Affect Businesses
The following is an excerpt from the July issue of the Independent Management Report
that may affect your sales tax reporting if you ship any product into the state of Ohio.
“The IMR has learned that any Ohio business that stores items for customers and charges for storage of those items must start collecting sales tax for storage of those items beginning August 1, according to Bill Riesenberger, division counsel for the sales and use tax division for the Ohio Department of Taxation. Excluded in the storage provision are any items that the customer will resell "in the regular course of business." This means that storage of promotional products that a client plans to resell in a company store will not be taxable, while storage of promotional products given away free, such as those distributed at community events, would be taxable.
Additionally, distributors and manufacturers (both in state and out-of-state) must start collecting sales tax on deliveries to their customers in the state of Ohio, effective August 1.2003”
