There is a new option in the auto distribute feature of cash receipts that 
allows the cash to be posted by range of invoice numbers. Prior to this change, cash would be posted in order of the oldest invoice first based upon the invoice number order. 

To enable the feature go to the A/R System parameters (In CHUI, ARS-S1 screen 6), there is a new question: "Enable Cash Posting Invoice Range Logic?".

If the feature is enabled, you will notice the following new prompt after choosing the Auto Distribute option:

Apply to invoice range from *******-* to *******-*

A starting and/or ending invoice number can be entered to create the range 
of invoices to apply to. If a range of invoices is chosen, then the application of cash begins immediately, skipping all other questions. If the range is First to Last the other questions are asked. If the parameter question is not set then Cash Receipts will operate as it has in the past.



View Files – The view files option allows you to query any TopForm file. It also provides a very easy way for the user to export the data being viewed to an Excel spreadsheet. This feature is available only in the Graphical User Interface version of TopForm and could be reason enough to have the GUI installed for at least your System Administrator. 

To use the View Files feature, simple right click on the right side of your TopForm menu. 

The following list of “System Options” will be displayed.

Click on the “View Files” option. You then be able to view a drop list that contains all of your TopForm files.

Let’s take the Vendor Masterfile for example. The fourth file listed will be AP4_Vend. This is the Vendor Masterfile. Once you choose it, you would see a listing of all of the fields that are contained in this file.

If you want to choose all the fields, click on the double arrow
or simply double click on the specific fields you want. Let’s assume you want to select the vendor code, the Vendor Name and the Vendor Status.

Now simply click on the Generate Program Button to view these three fields for all of your vendors.

You could just view the data or you can click on the button to export this data to Microsoft Excel. Please note that this export will only work if you have less than 65,000 records. This is the natural limitation of Excel.

Should you need to export a file with more than 65,000 records, you can use the Export option off the Systems Options drop list. This feature will create multiple sheets in Excel to handle the large number of records. Customer on credit hold template:

The Web.ec server program (EC3SRV) has been modified in the area where a buyer is logging in, to check the buyer's customer record, and if the Credit Hold field is set to Y (A/R,S2,#2), then check the above new parameter for a valid template. If the template is not blank then the template will be displayed.

Webcodes are supported, so if the buyer has a webcode, Web.ec will attempt to use the appropriate template.

A suggestion for naming the template is credithold.htm.

The template should indicate the buyer will not be allowed to login to Web.ec, and give a person's name, and phone number and/or email address as a contact, along with any other information you feel is necessary.


We would like to solicit input from our TopForm customer based regarding a possible enhancement to the TopForm Credit Card capability. 

If you are using Web.ec and the TopForm Credit Card Option today, then you are familiar with how this feature works for customers placing orders on line. If you are not, then here is a brief summary.

The trigger for this special handling is the customer terms code. If the customer or buyer is designated as a credit card purchaser, special pages are invoked which asks the customer for their credit card information. The programming then triggers the actual billing function so that sales tax and automatic requisition and other charges can be added to the order. It also triggers on-line authorization with Verisign. There are also some other controls that are put in motion regarding the ability by operator to delete invoices, whether the invoices update to Summary Billing, etc.

TopForm also already provides the capability for the operator to enter credit card data when they are entering orders directly into Order Entry, however it has been suggested that TopForm program the same on-line authorization as well as automatic billing functionality for these manually entered orders as is provided for Web.ec orders. This functionality would also be applied to orders entered via the customer invoicing gateway, or when there is a backorder situation for a Web.ec credit card order. 

Beside TopForm programming, the following would be required for this functionality:
  • A ProvideX module for SSL support directly from TopForm (about $500).
  • A certificate from someone like Verisign.
  • The TopForm server would need an internet connection.
