The purpose of this letter is to provide you with a brief but important update on our continued progress at TopForm Software, Inc. Although it has been some time since my last letter, I believe you will be satisfied with the progress we are making towards our strategic objectives as outlined in earlier communications. In fact, there may be one or two surprises in this letter for you that will significantly help you in your challenge to acquire and retain customers while optimizing internal efficiency.

It's my goal to provide unfiltered access to information about our operations as your business partner. If you have questions or comments regarding any of the topics included or omitted in the list below, I would ask that you give me a call directly. E-Commerce

First and foremost, I'd like to share with you some extremely exciting news related to TopForm E-Commerce.

Option to Bypass Printing the Physical Count/Usage Analysis Report

This month's tip on TopForm Reporting Options relates to the Print Management Physical Count Audit/Usage Report.

If you regularly perform Print Management Cycle Processing, then you are well aware of this report found under Print Management, Cycle Processing, Physical Count Audit/Usage Update or option P5 on the F/M menu in CHUI.

It was originally thought that the user would need or want to print this report for review prior to updating usage statistics. Therefore, as with most other TopForm Audit Reports, the update option followed printing. What we found over time was that, due to the sheer volume of the data within some of these reports, the majority of our customers were not actually printing the report. Instead they would send the report to a "ghost" or "null" printer. Although this saved trees, it didn't necessarily save time. A better solution was needed for our customers.

New Picking Priority Options in TopForm Software

It has been consistently observed that 80% of the profit, in a typical company, comes from 20% of their customers. Because of this, it is extremely important that you provide your most profitable customers with the highest level of service possible.

This month we would like to highlight a new feature that was created to do just that. This new feature gives you the ability to prioritize the picking tickets within each of your warehouse locations by Customer. This is accomplished by allowing the user to define Picking Priority Codes. The user can then assign a picking priority code to their top customers. All orders that are in the print queue will print in the order of the priority code that has been assigned to it. This allows you to manage shipments more efficiently and gives you the control necessary to provide the highest service levels for your best customers.

Purchase Order Printing Enhancement

Did you know that there is a command to force all lines of a purchase order to print on the same physical document, even if you are special shipping each of the lines?

Generally it was assumed that when you elected special shipping in TopForm, that you were most likely shipping to multiple customer and/or warehouse locations. Therefore, TopForm would create a different purchase order document for each of the line items in order to clearly indicate to the vendor the shipping quantities and destinations. However, there are times when special shipping is invoked for other reasons. Perhaps you have multiple line items because the products are slightly different. Take the example of apparel. You might enter five different lines items to order five different sizes. However, you want all the shirts to ship to the embroiderer.

SOLION

In 2004, Wendy Coutu, President of SOLION decided to enter the Office Products market. The following is her story, told in her words. We are retelling it here in order to share with other TopForm customers, the success story of a company with vision, exceptional tools and superior management.

Wendy was looking for new ways to grow revenue. She learned from the US Bureau of Labor Statistics that for each dollar her customers spent on printing, they were spending five times that on Office Supplies, double that on Janitorial/Sanitation products, and more than an equal amount on Furniture. Even if she couldn't capture all this business, she knew that the opportunity for revenue growth was tremendous. But how could she venture into this arena without adding to SOLION's headcount?

TopForm had the answer, SOLION invested in the TOPS option of Web.ec in July of 2004. They spent the months of July and August implementing and testing until they were reasonably confident that orders were flowing properly. They knew that they still had a lot to learn about the Office Products business, but like the Nike challenge, it was important to "Just do it!."

The support staff of TopForm would like for you to join us in welcoming our newest member. Laura Sanders has been with TopForm for the last 6 years but has worked primarily in programming. Laura has moved to support to assist the staff with 2nd level issues and more complex support requests that sometimes require a programmer. We are very happy to have her in our department.

Jose Rodriguez and Rosa Eugenia Ramirez were married May 26 in Bogota, Colombia. Jose is a part of TopForm's programming team.

As you know from last month's update, we announced that we will be holding our 2007 Client Conference in Atlanta at The Westin, Atlanta North at Perimeter. The dates for the conference will be November 8th - 10th.

We wanted to expand on this information this month to provide the basic agenda. As things are still in the planning stage we want to stress that no part of the schedule has been finalized and it is subject to change as things progress. We would appreciate your input!
